Clear & Transparent Terms at a Glance
Core refund and cancellation guidelines summarizedAt HamiltonGarden Inn & Suites, our financial covenants and cancellation terms are straightforward. All refund procedures are governed strictly by the executed Vacation Purchase Agreement (VPA) and applicable consumer regulations.
10-Day Statutory Cooling-Off Period
In alignment with the Vacation Purchase Agreement, every newly enrolled member enjoys a 10-calendar-day cooling-off review period commencing from the date of the primary agreement execution:
- A member may submit a written cancellation request within this 10-day window via email to info@hamiltongardeninnsuites.com.
- Upon receipt and verification of the signed cancellation form, the initial down payment / enrollment amount is processed for refund, subject to standard administrative processing fees (ASF) and statutory non-recoverable banking aggregator gateway charges.
- Requests received after the expiry of the 10-day cooling-off period are treated as active memberships and are governed by the contractual termination terms outlined in the VPA.
Resort Stay Cancellations & Credit Re-Banking
When a confirmed holiday stay voucher is cancelled, the affected nights are credited back to the member's account according to notice periods:
100% of vacation nights restored to the account. Nominal voucher re-issuance fee of ₹750 applies.
50% of the vacation nights restored for future booking within the same membership year.
100% of nights forfeited due to partner resort room inventory commitments.
Annual Subscription Charge (ASC/AMC) Guidelines
Annual Subscription Charges maintain continuous resort availability, insurance, and audit readiness throughout the 25-year entitlement. ASC payments are non-refundable once the membership anniversary year has commenced or once any vacation booking has been confirmed under that cycle.
Processing Timelines & Reimbursement Channels
Approved refunds are processed through banking channels within 7 to 10 business working days from the date of official written approval by our Finance Directorate:
- Original Payment Method: Payments made via Razorpay (UPI, Credit/Debit Card, Net Banking) will be reversed directly to the original initiating account.
- NEFT/RTGS Wire Transfers: Direct bank transfer payments are remitted via verified NEFT to the bank account bearing the primary member's name (cancelled cheque required).
- Deductions: Statutory non-refundable taxes (GST paid to the government) and banking transaction charges will be deducted as permitted by law.
